1. Introduction This document assumes that the reader already has access to Autodesk Construction Cloud, specifi- cally the following modules:

2. Purpose This implementation guide assumes that you are the Autodesk Construction Cloud admin for a company called AD-GC. AD-GC deals with multiple companies to design and deliver the project. This guide will provide a step-by-step guide with images on how to set up Autodesk Construction Cloud to fulfil all the requirements of a BIM implementation on a Project. The guide will use the simplified approach to BIM implementation. In other words, the folder structure will not use the expanded IS019650 structure of S0,S1,S2,S3,S4,S5,A,B,C , but instead WIP, Shared, Published only. There will be cross-linking between this implementation guide and the BIM standard(s)standard(s) provided by Autodesk.

3. Account Admin Activities
The first step is to go to link acc.autodesk.com or acc.autodesk.eu depending on the region you are required to use.
The first thing you see is the Sign in screen:
3.1 Getting to Account Admin
After you enter your credentials, you will see the first page which is by default the project list. On the top left-hand corner, you see the account admin link. Click on it to enter Account Admin mode.
In the Account Admin go to roles:

Then click on the Add role button and add the following roles in the Role name field:

• BIM-Project-Admin: This role configures the project. • BIM-Consumer: Viewer Only (does not have rights to change documents or models) • BIM-Controller: Authoring roles who create documents. • BIM-Approver: Checking of document created by the controller. • BIM-Assurer: Reviewer of documents before sharing, with the ability to create Issues and deal with third parties outside the team. • BIM-Creator: This is similar to the controller but on the drawing and 3D model level. They can also delete files and properties.
To grant access to roles based on specific companies, it will be necessary to create role and responsibility combinations. For example, if there is an MEP subcontrac- tor who requires permission to create drawings solely within a designated folder, their assigned role will be BIM-Controller-MEP.
In the Account Admin go to Companies and click on + Add company.
3.3 Creating Companies
When the Add company window opens, fill it in. Try to include the trade as it will be used later.

For this implementation let’s create companies representing the following:

3.4 Inviting Members

On the page, you will see +Admin members

Add the email of the person along with their company and default role.
Note: Do not tick Account Administrator or Executive. It is essential to repeat this step for all stakeholders, as well as company members who are involved in any capacity, whether providing input or receiving output to the project.

3.5 Creating a Project (Based on Template if Possi- ble) The final step in the Account Admin is to create the project. First, go to the project tab under Account Admin.
You will find a button name + Create Project.

Fill out the fields.
Note: It is recommended to create a template for BIM projects to avoid repeating many of the steps that will follow.
Click on it and the following window will pop up:

Once the project is created you need to assign various services to project users starting with the Administrator.
Once services are activated you should be able to see them in the project admin setting drop-down.
4.1.1. Define Work Breakdown Structure (WBS) Locations Let’s go to the Project Admin, and under settings, there is a tab called Locations.
Locations can be added one at a time or via an Excel template.
To be consistent with BIM implementation, it is important to follow the Planning WBS for
location (only the construction portion). Otherwise, you might end up with a large number
of locations that become confusing.

Now we are ready to handle project admin activities.

It is not advisable to provide excessive detail, such as specifying individual rooms or types of finishes or walls, as this can make it challenging for the site team to locate the appropriate WBS.
4.2 Invite Members Under Project Admin go to members and click on +Add members.

Note: When adding a member to a project you can define the company, the role and the Autodesk ser- vices they can have.
5. ACC DOCS ACTIVITIES For the purpose of this guide, let’s see how to set up the below workflow:

5.1 CREATING A NAMING STANDARD ACC already has an existing naming standard in line with industry best practices. It can be accessed by going to Docs, Files, Settings drop down and then Naming Standard.
The default – ISO 19650 will show. Click on the view link.

Note: You can always download the template and fill it up in line with the project requirements via the three dots and Download Template.
The downloaded Excel template has all the instructions needed to help you out. But a few items need to be clarified first.
If the file is named externally to ACC, it will include all the prescribed conventions. Subsequently, ACC will be able to discern what should be retained in the file and what should be included as attributes.

Notice how the File Naming attributes are already filed, while the related attributes are not. You need to select them from the system.
Tip: You can always hover over the file name to see the original file names:
After making the right selection of related attributes click on upload. The file will now follow the exact requirements of the BIM standard naming.
5.2 CREATING CUSTOM ATTRIBUTES Interestingly when you activate the naming standard, the system will create automatically the needed attributes.

The general recommendation for a simplified folder structure approach is to have the
three main containers as WIP, Shared and Published. Then under each one use Type, and
then Role as this is where access control is implemented.

5.4 APPLING ACCESS CONTROL PER ROLE Within the WIP folder and its subfolders, it is advisable to designate a team administrator. This individual will be responsible for determining access permissions for members within their team.
For example, let’s say a civil subcontractor has a surveyor tasked with creating 2D drawings. The team administrator will decide and grant the necessary access using these steps:
1) Grant Access with Edit Level for Company AD-CV to the B-Surveyor folder under M2-2D Model in the WIP folder.

2) Further Grant Access with View Level for Company AD-CV to the B-Surveyor folder under M2-2D Model in the Shared folder.
3) Now at the same folder above, grant access with Create access level to BIM-Controller and BIM Ap- prover.

Follow the same logic for all folders with this following table in mind:
5.5 ENFORCING NAMING STANDARD Enforcing naming standards can be applied to any folder or its subfolders. Simply click on the three dots next to the folder name, navigate to “More” in the context menu that appears, and then select “Enforce Naming Standard,” as shown below:

The next window will give the option to choose either the folder of choice or the folder and its subfolder. To action the choice press on the Enforce button.
Tip: It is key to ensure that the basics of the naming convention are present before starting the job. These are Originator, Volume/System, Level/Location, Type and Role on the File Naming side. For Status and Classification, these affect the related Attribute side.
5.6 CREATING APPROVAL WORKFLOW Let’s go back to the workflow at the beginning of section 5. Every document needs to undergo a series of steps from checking and approvals before it becomes usable. For this, ACC provides the Reviews feature as the vehicle to implement these activities.
To get to Reviews, you need to be on the Docs service and select Reviews tab, then click on the settings link.

For most of the BIM cases, you would need a one-step approval only. Select One Step Approval, then click Next:
The Main Screen of the approval workflow creation will appear. Three main functionalities matter: The Approv- er, the File Review Status and the folder to copy the file to.
As an example, we have architectural 2D drawings that were produced by the architectural firm. Continuing with our example: After these documents/drawings undergo processing by different parties, they must be prepared for construction. Strictly speaking, only documents in the published folder are deemed suitable for execution. As a result, all documents destined for this folder must receive approval from both the responsible person at the authoring company and the owner representative. Therefore, the approval workflow necessitates two steps. For instance, consider architectural 2D drawings gener- ated and coordinated by the architectural firm; these drawings need approval before being published for execution.

In practice, the contractor authors a document in WIP folder and sends it to the approving authority in his firm. Once approved it can be shared with others for coordination. At specified intervals of time, the contractor responsible person or team for document management sends it to the owner for approval, and once approved it is published as a project document.
Tip: In a multi-step review, reviewers downstream have the ability to return an approval workflow to preceding steps, thereby avoiding the necessity of voiding and restarting the process.
5.7 DEFINING ISSUE TYPES AND CORRESPONDING CUSTOM ATTRIBUTES During the lifecycle of the documents, it is important to have a clear record of experts’ inputs on specific issues such as compliance with code, design, change in requirements, coordination etc. With ACC, can be created, documented and even given deadlines.
The Issue module can be accessed from the following services:

Once the Issues tab is selected you can see on the right-hand side a link to settings.
Upon selecting Settings, a dropdown list will appear, presenting the options shown below:

These options allow users to customize the Issues to suit virtually any requirements.
Note: The Permissions is important as it employs a unique type of access control that takes the Com- pany into consideration.
Once the +Add permissions is clicked, the following Permission levels are available:

In our example, the Roles BIM Approver and BIM-Assurer will have ‘Create for my company’ permis- sion level. The Role BIM Assurer for the Owner will have ‘Create for other companies’ permission.
Let’s further this example:
A civil designer creates a foundation plan and sends it to the civil supervisor for approval.
First, the Document is added to the folder WIP\M2-2D Model\C-Civil Engineer

Next they send the document for approval via a review workflow:
Next, they select the template and give the review a name:

ACC will not allow them to proceed before conforming with the naming convention. So they click Rename, and a new screen will appear:
After they complete the selection of the proper naming convention, they click rename. This is how it looks like now before submitting.

Once submitted it will go via the workflow. The assurer in this workflow will receive a notifica- tion and will see this screen once they accesse the link:

When they click start review they will see the following screen:
First, they can open the drawing by clicking the drawing name. They can add an Issue on the drawing by selecting the Add Issues menu, selecting the type of issue and point with the mouse on the drawing. They can then add the relevant information to the issue as shown below.

Because they refused the drawing and added an issue, they need to select Rejected as review status and place the relevant revision, then click Submit review.
The next screen they can add a note for the creator to know the reason and click Submit:

6. ACC DESIGN COLLABORATION ACTIVI- TIES To get to Design Collaboration, select the service from the drop-down menu in the service selec- tor:
Once selected for the first time, it will ask you to define the shared folder location.

Keep the default for this example (/Project Files/Shared) and click Next. Confirm & continue in the next screen.

6.1 CREATE COLLABORATION TEAMS
While in the settings screen, press select existing folder.
A pop-up folder selector will appear. Make sure to select the folder of the team of choice from the WIP subfolders.

The System will create a team and automatically create additional folders. For instance, the below is what gets created if you select the A-Architect subfolder:
If you have completed all the permissions as outlined earlier, you can conclude the process, and the team is created. Nevertheless, if you need to adjust permissions, you can do so by selecting the team and clicking on Manage Team Members:
It is recommended here to select the corresponding company (AD-AR) as a role with a Create permission level:

To verify that the creation went according to plan, you can ask the relevant team to sync their Revit application with the team folders. You should then see the home screen as follows:
If this previous screen is not visible you can press on the triple dot in the middle to show it:

6.2 ADD WATCH GROUPS Sometimes you need a group of people to be aware of certain changes in the design to act ac- cordingly. Let’s say you want the architect to know if any new changes happened to a column that might affect her interior vision.
As a first step, you go to changes and click +New watch group.
Next, select the model of choice. E.g. structural model and click Next

Now the 3D model will appear. Select the required model elements e.g. the 450mm round col- umns and click Next.
Give it a name: ‘Architect Interior’ and click Save.

6.3 MEETINGS AND DEFINING THEIR NAMING Recording any decisions that impact the project is essential. Since many of these decisions occur during meetings, it is important to use the Meetings module to document them.
First, go to Meetings tab and then click + Create meeting
Next, select the Agenda and give the meeting a name (e.g. OW-AR-Coordination). Then define the meeting date, time and location. You can always add a conference call link in case the meeting will be virtual. Finally, add the agenda sections and invitees.
Notes will be taken during the meeting, and as needed, you can assign tasks, add attachments, set due dates, and include references.

At the end of the meeting, you change the agenda to minutes and create a follow-up.
Set the next meeting date and click Confirm.

Notice how the meeting number became 2 and Minutes became Agenda. You can change statuses, topics, close items and repeat.

6.4 LEVERAGE CORRESPONDENCE Emails are increasingly integral to the project communication system and are gaining contrac- tual significance. To capture all correspondence, particularly those received via email or other communication channels, you can access the Correspondence tab under Design Collaboration or Build.
You can either create a correspondence by clicking the +Create button or from email.
By clicking the File from email button and copying the displayed email address, you can utilize it to capture project-relevant emails. This can be done by forwarding or CCing the specified email address.

Tip: A good idea is to add this email to your address book and name it e.g. ‘ACC Corre- spondence for Project EIR’.
7. ACC MODEL COORDINATION Model Coordination works only on published folders as opposed to Design Collabora- tion which can happen between WIP and Shared. To access Model Coordination select it from the service drop-down:

7.1 DEFINING COORDINATION SPACES Go to settings to create Coordination Spaces. Normally if you made the proper setup in the collaboration modules these spaces will be ready.
Now you can go to Models tab and see the various models. If the Models tab is empty, this means there are no models in the shared folder.
Select the models and click Open in viewer.
The next view is the heart of Model Coordination as it has many functionalities such as save view, model view, transform, show clashes, show issues and create issues.

7.3 DEFINING CLASHES SETTINGS In the clashes tab, you can decide which models to include or exclude from automatic clashes.
7.4 INTEGRATING DESKTOP AUTHORING WITH ACC To integrate your authoring software with ACC you can follow these steps. We will show how to do this with Revit.
First, open Revit and on the welcome page select the local file you are authoring. Then open it.
Once the file is open go to the file menu and select Save As and then select Cloud Model.

8. ACC TAKE-OFF The purpose of ACC Take-off is to maintain a database of the project scope, which is articulated in terms of quantities. Expressing these quantities involves relying on a measurement and classification system that defines the appropriate unit of measure and the rules for determining quantities. For instance, when measuring the painting area of a wall, one should consider the surface area of the wall face, but the question arises: should openings be excluded or not? This is where the classification system comes into play.
8.1 DEFINING MEASUREMENT AND CLASSIFICATION SYSTEM As a start, download the specification template, fill it in and re-upload it.

9. ACC BUILD
Quality management begins with Inspection Test Plans (ITP) and from ITP, quality checklists known as quality forms are derived. It is essential to create these forms, and their content should be logged in the system for traceability.
To access Forms, start by selecting Build in the service selector, and then click on the form tab.
9.1 DEFINING FORMS FOR QUALITY MANAGEMENT
To create a form template, navigate to templates and choose to create it manually or via import. In this example, let’s create the form manually. Begin by creating a folder named “Concrete Work,” where all form templates related to concrete will be stored. Next, create the template itself and name it FM-100- 100-02.

Then select Blank Template and click Next.
In the basic information fill the title, description, and template type select quality and activate section assignees.

Go to Forms, expand the concrete folder and select FM-100-100-02 and click +Create form.
The form automatically gets a unique ID. Proceed to define location, due date and describe which specific foundation is intended. You can also add the relevant drawings:

9.4 MANAGING ASSETS Asset information, along with COBie requirements, is categorized into three levels.
Each category would require a set of attributes that help manage the assets during all phases of the project.
COBie also provides a set of predetermined statuses describing the evolution of assets.
It is key to have the model authoring team use Revit to have the proper set of attributes that support asset management.
In this section, we will see all the possible data that help reach a smooth asset management.
The first step, start with Revit and COBie

Working with Non-Modelled Assets If you do not have a BIM model, you can still populate the assets via formatted asset registers.
First go to asset module by clicking the Assets tab under Build. Click Import assets.

The downloaded Excel will contain the main/common fields to be populated (grey background) and other optional fields.

Once the data is filled, you can reimport it by choosing the Excel file and clicking import (see pre- viously shown image).
It is key that categories, locations, and statuses match what is in the system. Also, notice how the hierarchy of the categories is separated by “>” character.
Creating Asset categories and statuses
The asset settings allow all sorts of customization including the categories and statuses: To add categories first go to settings. A combo box will show. Select categories.
The next screen will have a +Create category button as well as links to create subcategories.
The default statuses in the Asset module are similar, but they differ from those in COBie.
First go to Status Sets tab, and then expand the default to see the statuses

A shortcut exists for adding COBie categories efficiently, avoiding the need to add them one by one as demonstrated earlier. You can establish the hierarchy in Excel, upload it using the asset template, and subsequently remove the assets while retaining the category structure.
Linking Models and Assets Since the goal is to utilize BIM for asset data management, the crucial element is establishing a mapping between model objects and asset entries, with the ideal scenario being the population of assets directly from the BIM model along with their pertinent attributes. First, go to models under settings.

If you are missing any asset fields you can always add them in the custom fields.
The next step is to import the assets.
When you select any asset and go to its model via the link, the model will zoom directly onto the asset. Note that you can change the view into 2D if available in the Revit file.

It is a recommended practice to add to every asset the relevant references: e.g. list catalogues, manu- als (as files), maintenance checklist (as forms), requests for maintenance (as issues), photos, links to schedule and more.
Once the setup is finalized, you can track the status of assets directly from the 3D Model or the 2D view, indicated by color coding corresponding to the assigned status. To access this view, navigate to Files, drill down to the 3D Model file, and open the 3D view. It’s worth noting that if the model includes a tracked asset, an additional asset icon will appear for selection, with the asset adopting the color cor- responding to its status, as illustrated in the image below.

contrast, the connector template enables you to link directly to the data without the need
to download it.
