Before we get started, just a quick overview of today's agenda. We’re going to go over estimating and project phase cost management, and how those two go hand-in-hand. We’ll then do some introductions into both ProEst and Cost Management in Autodesk Build and then go on to moving estimates to budgets with both ProEst and Autodesk Build. We’ll then talk about that integration and wrap up the call with questions.

Estimating and project cost management are two different phases of the same overall project cost lifecycle. Project cost management essentially confirms the accuracy of the estimating phase, so it’s extremely critical that these processes remain tightly connected.

ProEst was acquired by Autodesk in December of 2021. With ProEst, there are no more broken Excel formulas, no more copy and paste, and no more multiple iterations of an Excel template. What makes ProEst different is the centralized data that can be accessed from anywhere. Precon data is dependent on the standardization of how you input and gather the data to begin with. Data needs to be accurate. ProEst allows your team to work collaboratively, going from estimates to proposals in a single platform, or at a minimum – it helps you create conceptual estimates much faster than manual methods.

In ProEst, we have the ability to create detailed cost estimates. We have complete database offerings like cost books, and RSMeans, both of which have city cost index multipliers to help you have the most accurate conceptual pricing based on the region you're building in. Talking about accuracy and detail, or if you have an existing database, we have an import process to bring your data into ProEest, including labor, subcontractor costs, equipment, and other base costs that can be attached to each individual item.

There is also an integrated takeoff capability built into ProEest. As you perform your takeoff, quantities populate into your estimate, eliminating double entry, and driving the quantification of your items and assemblies from the database. Cost Management is a complete end-to-end solution which takes you through budget management, procurement changes, payment applications, and it’s also highly configurable. Whether you’re an owner using the system, general contractor, or subcontractor, the system can be configured for different purposes and integrations with different tools.

Let’s dive a little bit deeper into the parts and pieces of cost management. On the screen, we’re looking at cost management workflows from a general contractor's perspective. However, as I've described, you could be an owner using this, a subcontractor supplier – it doesn’t matter. It can be configured for different processes. You might be working alongside other tools, as well, that we can connect to. Let’s just go through exactly what we see here. Let's say that we start with a finalized estimate; we've won the project. We’re going to put that into cost management as the starting budget. The budget is obviously how much we have to spend, and then we allocate that into all of the things that we have to procure or track costs against.

We have a contracts module, and so if budget is how much we've got to spend, contracts are how we’re going to spend it. On the bottom left here is what I call cost Nirvana. So in a perfect world, we have a budget to spend. We have contracts, this is where we spend it, and then we need to make sure that we get paid every month by our customer, and we have to make sure that we pay our suppliers every month. So we've got cost payment applications from suppliers, we've got budget payment applications – those are how we get paid by the customer, and then we are going to get actual costs in. Obviously, we need to make sure that we only pay the right people at the right time, and that we pay them the right amount. And then we also need to forecast our end position.

So we have a basic cost workflow here, but then you've got those things that tend to spoil the party. And you can have a lot of changes that are not being dealt with if you don't have an effective method of dealing with change orders. You need to make sure you get paid for all of the additional work or scope that you might take on and you’ve also got to try to effectively manage that process and make sure you're getting the money in as soon as possible. So we have a complete change order process, which is upstream and downstream. Everything starts with a potential change, and a lot of acronyms exist in this realm. There are so many things that can happen on a project that can lead to potential changes.

The final part of this is to give the supplier a change for their work. However, you don't have to go through all of those stages. Some owners will just want to go straight to an owner change and you can do that. You might not already know the pricing from the supplier for a particular change, and if that’s the case, you can skip the RFQ and just go straight to the supplier change. But we've got all of those parts and pieces and you can configure the system to turn them on or off.

So, we've got the upstream changes, we've got the downstream changes, and we have the overall budget, contractual management, payments, and forecast.

Let’s take a look now at cost management integrations. We’ve got some hard-coded integrations, or deep integrations or direct integrations, which from point to point using our API structured platform. So there are already many APIs already available. We also have ACC Connect, which is built on Work Harder technology and it acts as an integration tool; a middleman, if you will. ACC Connect already works with a lot of other systems and it directly connects by creating recipes that work between your chosen systems. We also have many ERP integrations, which again, generally work through an integration tool that sits in the middle and does all the translation.

In the grey area, we have all of our own internal integrations. The benefit of having a connected platform, is that it's very simple to make connections between all of the project parts and pieces, such as RFIs and submittals, and then create change orders off of them. So when our delivery tickets come in, we might want to take photos of them and upload them straight to our expenses module because our accountants might not want to pay for an expense unless there's a delivery ticket to go alongside it. We might want to connect things into meeting minutes so that we always have those things on hand telling us what we need to discuss whilst we're in the meeting. Of course, all of the project documentation is stored in the Document Management module. So, if we want to connect cost and time for the purposes of calculating general conditions, or for creating cashflow forecast, we can connect the schedule to the budget and then we've got locations and so many, many connections between all the parts and pieces of our overall platform.

Let’s take a look, now, at how we move our estimates into our project budget. 19

This is where we just align our budget segments with the way that you can configure the different views within ProEst so that they line up. You choose your project and then you just check a button when it's finished and it's ready to be pushed over to Cost Management. And then you go to our budget view and those same divisions and subdivisions that we set up are already shown in Cost. We then can just push the budget in, and from there, we're able to slice and dice and group our budget based on the exact same divisions that we could use within ProEst.

It’s really as simple as that, and you can see that it’s a very quick process. One minute you're in ProEst and the next, you’re in Cost, ready to manage your budget and start the rest of the procurement process. And so what we’re looking at is the overall desired workflow, that truly offers a fully connected, seamless experience.

We’re effectively taking our resources, materials, labor costs, subcontractors, equipment, and all other relevant information, and then pushing them directly into Cost Management. We can use the same groupings that we had available in the estimate. And we can then use that as a means of slicing and dicing and grouping the budget. And then we push that information to the ERP, via our regular ERP integration with the Cost Management module. Therefore, all of our commitments, our change orders, payment applications, they’re all completely in sync and integrated with the ERP which gives us an end-to-end solution. 21
